At Nationwide Children’s Hospital, we strive to schedule all patients in a timely manner, but we recognize that some patients need to be seen on an urgent basis.
That’s why we have developed our Urgent Appointment Promise. With this new customer-service initiative, we are not only offering a formal promise, we are reaffirming our commitment to work closely with primary care and other referring providers.
We also offer a suite of resources to follow up on your referred patient's care including CareLink (for desktop), Haiku (for mobile) and Canto (Apple iPad). Please see frequently asked questions regarding these resources below.

Urgent Appointment Referrals
What qualifies as an urgent appointment?
The referring provider makes this decision. We trust you to determine if a patient should be seen within five business days and communicate with us. We ask providers to recognize that these appointments are reserved for truly urgent cases. Therefore, it is important that patients with less urgent needs are not seen ahead of those who need faster access.
Is this available for all services?
The Urgent Appointment Promise applies to all pediatric subspecialties except Behavioral Health. Nationwide Children’s Hospital, along with other institutions, continues to face high demand for behavioral health services, but we hope to include our program in the future.
What about diagnostic services?
Since the service is intended to create urgent access to outpatient specialty clinics, it does not apply to diagnostic services (e.g. MRI, sleep studies). We always work with referring providers and families to schedule services as soon as possible and ensure those with pressing needs are triaged appropriately.
Can we use this to get our patients in "sooner"?
While we strive to schedule all patients in a timely manner, this is intended specifically for those with a medical need to be seen within five business days. Please talk to us if you have a currently scheduled patient, who is not necessarily an urgent case, but needs to be seen somewhat sooner than the current appointment.
Can we request urgent appointments by fax or online?
While we encourage practices to utilize the fax referral form and online request an appointment scheduling, we ask the physician to call us at (614) 355-0221 when a patient needs to be seen within five business days. The telephone conversation is important for gathering important information on the urgency of the case.
What if the family declines the initial appointment?
Patients sometimes decline the available appointment due to scheduling conflicts or other reasons. When that happens, we work with the family on available options. In some cases, the appointment may ultimately be scheduled somewhat later, due to patient availability.

How do I log in to CareLink?
- Open your web browser
- Navigate to https://carelink.nationwidechildrens.org
- Enter your username and password
- Click "Log In"
How do I find my patient?
Two Options:
- Select the Patient List tab and then click the patient's name to open the Clinicals tab
- Click the Patient Search button in the upper right of the screen and then click the patient's name to open the Clinicals tab
I can't find my patient. What do I do?
- Click on the Patient List tab.
- Scroll to the bottom of the screen and select First Access.
- Enter the search criteria, click Search, select your patient and enter a reason for the access.
How do I print?
Click the Print icon from any screen to print. The print icon is always located near the upper right hand corner.
How do I get notifications via CareLink for my patients that are admitted to the hospital, seen in the Emergency Department or seen in Urgent Care?
- Click Utilities
- Click User Demographics
- Enter your email into the Email field
- Select "Yes" in the Recieve Email Notifications field
I'm looking for specific information. Can you walk me through how I can access certain items?
- Encounter (Visit) Details – select Chart Review from the left-side Navigation screen. Click the date of the encounter from Encounters tab to open the detail report.
- Discharge Summary – follow the steps above to open the Encounter report. Scroll to the bottom of the Encounter report. Click on the Discharge Summary hyperlink to open the report.
- After Visit Summary – follow the steps above to open the Encounter report. Scroll to the bottom of the Encounter report. Click on the After Visit Summary hyperlink to open the report.
- Lab Results – select Chart Review from the left-side Navigation screen. Click on the Laboratory tab. Click on the Date/Time in the left column to open the Result Report.
- Radiology Reports – select Chart Review from the left-side Navigation screen. Click on the Imaging tab. Click on the Date/Time in the left column to open the Radiology Report.
- Physician Notes – select Chart Review from the left-side Navigation screen. Click on the Notes tab. Click on the Notes Time in the left column to open the Notes Report.
- Letters – select Chart Review from the left-side Navigation screen. Click on the Letters tab. Click on the Creation Date in the left column to open the Letter Report.
- Referral Status – select Chart Review from the left-side Navigation screen. Click on the Referrals tab. The status of the referral can be seen in the Status column. Open the Referral Report by clicking the date in the left column.
- Medications – select Chart Review from the left-side Navigation screen. Click on the Medications tab. Click on Date in the left column to open Medication Report.
- Insurance Information – select Chart Review from the left-side Navigation screen. Click on Misc. Reports tab. Click on CHI Financial Summary link in the left column to open the report. Scroll to the bottom of the report to view Currently Active Insurance.
Haiku
Do I use the same credentials to log into Haiku as you do to log into CareLink?
Yes. Also, your Haiku access follows your CareLink access. So, if your CareLink account is disabled due to inactivity, your Haiku access is disabled as well.
Will I be able to access the same information displayed in Haiku as CareLink?
No, not all encounters, notes and results appear in Haiku. The app only contains a subset of recent information that you would find in CareLink.
What is the different between Haiku access with Community and Secure Messages?
- Secure Chat Messages: You can send and receive secure chat messages across all three platforms.
- Community Messages: You cannot send/receive/reply to Community Messages in your Haiku inbox nor receive result notifications in Haiku as you do in CareLink. these are community provider to community provider messages.
